Officer Qualifications, Commitments, and Duties

Requirements for Office

Req.

All members of the Executive Board and Fellowship Board shall be:

​

  • A member of The Fellowship for two consecutive years prior to nomination.

  • At least 60% of The Fellowship Board shall consist of United Methodist Church members or employees. (altered 3/27/2023)

  • The Executive Board, in consultation with the Nominations Committee, may on occasion suspend any portion of these qualifications for reasons that further the mission and goals of The Fellowship. (Altered 9/17/2018)

Commitment

The commitment to a Fellowship Board position should include:

​

  • Attendance at one national Fellowship event each year, either the Biennial Convocation or Music & Worship Arts Week. Financial assistance is available. Meetings of the the Fellowship Board will be conducted in conjunction with these meetings.

  • Participation monthly in online video conferences with a Fellowship Board Working Group. These are usually 1 hour in length. Meeting times will be established after the nominations process is complete.

  • Participation as called in online Fellowship Board audio conferences.

  • Providing financial support to the Annual Fund and other fundraising campaigns as you are able.

Executive Board (elected, except for executive director and recording secretary)

Meets monthly via online video conferencing.

 

Fellowship Board 

 

The Fellowship Board as a whole typically meets once per year, or as called.

 

It is composed of the Executive Board above and three Working Groups. These Working Groups include the Vice Presidents listed above, as well as other appointed officers.

​

The work of the Fellowship Board is conducted via a network of communication, guided primarily by the Executive Board.

Position Descriptions

Pres.

President of The Fellowship

​

  • Meets monthly with the Executive Board, weekly with the Executive Director, and with Worship Groups as needed.

  • Demonstrated positive leadership attributes.

  • Ability to work collaboratively and engage in appropriate debate and discussion when needed.

  • Visionary and strategic thinker. 

  • Preside at all official meetings.

  • Coordinate the work of the Executive Board, preparing agendas, and following up on assigned tasks. 

  • Report quarterly to the membership, preferably via a 3-5 minute video, to address current concerns, projects, and vision related to the mission of The Fellowship.

  • Communicate with the Executive Director, preferably weekly by telephone or other electronic conferencing method.

  • Perform other functions as outlined in the Standing Rules

  • Meets monthly with the Executive Board, and with Working Groups as needed.

  • Organization skills: enjoys putting random pieces into order

  • Comfortable reading and manipulating spreadsheets

  • Trustworthy: ability to work with confidential material (personnel contracts and reviews)

  • Leadership skills: ability to empower other voices and encourage creative problem solving

  • Communication skills: must be able to accurately communicate information between the Executive Board and the Administration Team​​

VP Community

Vice President of Community

 

  • Meets monthly with the Executive Board AND monthly with the Community Working Group.

  • Leadership skills: ability to empower other voices and encourage creative problem solving.

  • Communication skills: must be able to accurately communicate information between the Executive Board and the Community Team.

  • Commitment to diversity and multicultural perspectives in relationship to building community within The Fellowship.

  • Comfortable enough with technology to be able to run a monthly meeting via video-conference.

  • Familiarity with social media platforms would be helpful.

  • Persons who are “big picture thinkers” and/or vision casters would be especially good in this position.​​

VP Content

  • Meets monthly with the Executive Board AND monthly with the Content Working Group.

  • Leadership skills: ability to empower other voices and encourage creative problem solving.

  • Communication skills: must be able to accurately communicate information between the Executive Board and the Content Team.

  • Commitment to resourcing worship design and leadership through all the creative arts.

  • Comfortable with technology, including familiarity with youtube, webinars, databases, and other means of cataloguing and accessing a variety of media resources.

Recording Secretary

Voice but no vote

  • Detail-oriented.

  • Organized.

  • Excellent written communication skills.

  • Comfortable with computer technology, including Google Drive.

Working Group Descriptions

Administration Working Group

Members are appointed, except for VP – Group meets monthly via online video conferencing

 

Additional meetings of the Fellowship Board as a whole occur at Convocation and/or Music & Worship Arts Week as well as occasional special called meetings.

 

Each Coordinator is expected to spend an average of at least two-three hours weekly on tasks and meetings.

 

  • Vice President of Administration (See description above)

  • Financial/Personnel Coordinator

    • Ability to read and manipulate spreadsheets and budget reports

    • A working knowledge of basic investment opportunities is helpful

    • Experience working with budgets preferred

    • Fund-raising experience would be a bonus

    • Major Tasks: 

      • Lead Fellowship Board members on matters related to finance and personnel. This work is done in collaboration with the Executive Director. 

      • Work with the Executive Director to prepare:

        • Drafts of event budgets and drafts of national operating budget

        • Financial reports and personnel contracts

    • May convene a finance and/or personnel committee or task group as needed for ongoing and/or specific related tasks.

  • Development Coordinator

    • Long-term commitment to The Fellowship, willingness to generate finances for moving into the future

    • Desire to develop these skills personally (note: The Fellowship will pay for training in this area)

    • General financial acumen

    • Good people skills

    • Excellent persuasive skills

    • Comfortable soliciting funds personally and networking with others for fund-raising

    • Ability and willingness to commit two to three hours/week to the position

    • Major Tasks: 

      • Work with the members of the Administration Working Group to address long-range financial concerns of The Fellowship.

      • Serve as primary leader for the Annual Fund, including planning for solicitation drives.

      • Research/recommend sources of non-dues-based revenue, including, but not limited to, grants, affinity services, gifts, and planned giving.

    • May convene a committee or task group as needed for ongoing and/or specific related tasks.

Community Working Group

Members are appointed, except for VP – Group meets monthly via online video conferencing.

Additional meetings of the Fellowship Board as a whole occur at Convocation and/or Music & Worship Arts Week as well as occasional special called meetings.

 

Each Coordinator is expected to spend an average of at least two-three hours weekly on tasks and meetings.

 

  • Vice President of Community (See description above)

 

  • Chapter Coordinator

    • Organizational skills are essential (this position will be tracking the activities of multiple chapters)

    • Good communication skills

    • Enjoys networking with others

    • Ability to keep others accountable in a non-threatening manner

    • Comfortable using Google Drive for shared document storage and work

    • Major Tasks: 

      • Work with the Executive Director to provide for an annual Chapter Report process as defined in the Chapter Addendum.

      • Support Chapter leaders in their work and provide for communication and networking opportunities among Chapter leaders.

      • Work with the Executive Director and Community Working Group to monitor the Chapter Development Fund, including determining the methods and criteria for grants and loans from the fund.

      • Review and process any requests for the formation of new chapters, in consultation with the Executive Director.

    • May convene a committee or task group as needed for ongoing and/or specific related tasks.

 

  • Membership Coordinator​

    • Ability to encourage and inspire volunteers

    • Enjoys generating new ideas

    • Comfortable using Google Drive for shared document storage and work

    • Offer assistance as practical to the national office in maintaining accurate membership records.

    • Major Tasks: 

      • Work to develop programs to:

        • Promote membership in The Fellowship.

        • Evaluate/increase membership benefits.

        • Address membership retention.

        • Increase visibility at other forums.

      • Work with the National Office staff to effectively contact non-renewal members on a timely basis.

    • May convene a committee or task group as needed for ongoing and/or specific related tasks

Content Working Group

Members are appointed, except for VP – Group meets monthly via online video conferencing

 

Additional meetings of the Fellowship Board as a whole occur at Convocation and/or Music & Worship Arts Week as well as occasional special called meetings.

  • Vice President of Content (See description above)

  • Events Coordinator

    • Excellent organizational skills

    • Good self-starter

    • Ability to work with diverse personalities

    • NOTE: This is not an event planning position – this is the behind-the-scenes person who supports the design teams, keeps folks accountable, figures out what’s missing, and also generates new ideas for event-related resources (e.g. webinars) and initiates those ideas when possible

    • Major Tasks: 

      • Monitor the planning processes of all event Design Teams.

      • Work with the national office to schedule and promote training webinars and others educational opportunities for members.

      • Envision new ways for Fellowship members to connect via educational settings.

      • Monitor and advise the Convocation Design Team and the Music & Worship Arts Week Design Team.

    • Is connected to the national event planning teams, including the biennial Convocation and Music & Worship Arts Week.

      • May convene other committee(s) or task group(s) as needed for ongoing and/or specific related tasks.

  • Publications and Media Coordinator​

    • Serve as liaison between the Fellowship Board and professional staff that create the publications (WorshipArts) and media (emails, devotions, online content).

    • Design skills not needed.

    • Ability to work with volunteers and paid staff to create exciting resources for Fellowship members and others.

    • Work to increase the online presence of The Fellowship.

    • Major Tasks: 

      • Monitor and advise the WorshipArts Editorial Committee.

      • Work with national office staff to provide writers for WorshipArts, weekly devotions, and other resource content.

    • May convene other committee(s) or task group(s) as needed for ongoing and/or specific related tasks.
